Invite a Patient to Enroll in myHEALTHware
Inviting Patients to Enroll
There are three (3) options for enrolling your patients in myHEALTHware. These include:
- Enroll by Email
- Enroll by Text Message
- Enroll by Voice Call
Option 1: Enroll by Email
To invite a patient to enroll in myHEALTHware using email, open the chart and enter the patient's email address into the Email field within Demographics.
- Send the Patient a myHEALTHware Invitation
Click on the myHEALTHware icon located on the left side of the chart tab (as seen in the screenshot above).
- Select the Invite by Email option by clicking the Envelope icon.
- Enter the patients email address (if the email address was filled out in the patients demographics section, this box will be defaulted to contain that same email address).
- Select the patients Role by choosing either Basic Subscription or Premium Subscription. In most cases, Basic Subscription should be chosen.
- Click the Invite button.
- Invitation Pending Acceptance
Once the invitation has been sent to the patient, the myHEALTHware status will display as "Invitation Pending Acceptance" (see the screenshot above). It will remain in this status until the patient has accepted the invitation and completed the myHEALTHware registration process.
- Patient Receives Email Invitation
The patient will receive an email from myHEALTHware ([email protected]). Included in the email will be a link where they can accept the invitation and complete the registration process. The patient should click on the Accept Invitation button, or the link that is provided,(or copy and paste the link into their browser), to complete the registration process.
*Note: For security and privacy purposes, this link will only be valid for 5 days after which it will expire. If the patient does not complete the enrollment process before the invitation expires, you can resend the invitation from their SOAPware chart.
Option 2: Enroll by Text Message
To invite a patient to enroll in myHEALTHware using text message, open the chart and enter the patient's text capable phone number into the Cell Phone field within Demographics.
- Send the Patient a myHEALTHware Invitation
To send an invitation to a patient using a text message:
- Click the myHEALTHware icon located on the patient chart tab.
- Click the Smart Phone icon.
- Enter the patients text capable phone number and select the appropriate role (Basic or Premium).
- Click the Invite button.
The patient will receive a text message that says: "(Clinic Name) has invited you to connect on https://myhealthware.com. Sign up with access code: ######". Once the patient is ready to complete their registration, they should pull up an internet browser on their computer and go to https://myhealthware.com. They will then follow the steps detailed in the "4. Patient: Accept Text Message Invitation" step below.
- Invitation Pending Acceptance
Once the invitation has been sent to the patient, the myHEALTHware status will display as "Invitation Pending Acceptance" (see the screenshot above). It will remain in this status until the patient has accepted the invitation and completed the myHEALTHware registration process.
- Patient Receives Text Message Invitation and Accepts
From the myHEALTHware website, patients will click on the Accept Invitation button that is located under the Log In boxes.
The patient will enter the phone number from which they received the invitation.
Next, the patient will enter the access code that they received in the invitation text message, then click Continue.
Option 3: Enroll by Phone Call
To invite a patient to enroll in myHEALTHware using a voice call, open the chart and enter the patient's voice capable phone number into the corresponding Phone field within Demographics (use Home, Work or Cell Phone field).
- Send the Patient a myHEALTHware Invitation
To send an invitation to a patient using a text message:
- Click the myHEALTHware icon located on the patient chart tab.
- Click the Phone Receiver icon.
- Enter the patients text capable phone number and select the appropriate role (Basic or Premium).
- Click the Invite button.
The patient will receive a phone call and a voice message that says: "(Clinic Name) has invited you to connect on myHEALTHware. To accept this invitation, use access code: ######. Again that's ######. Thank you for using myHEALTHware". Once the patient is ready to complete their registration, they should pull up an internet browser on their computer and go to https://myhealthware.com. They will then follow the steps detailed in the "Accept Invitation from a Text Message or Voice Call Invitation" step below.
- Invitation Pending Acceptance
Once the invitation has been sent to the patient, the myHEALTHware status will display as "Invitation Pending Acceptance" (see the screenshot above). It will remain in this status until the patient has accepted the invitation and completed the myHEALTHware registration process.
- Patient Receives Text Message Invitation and Accepts
From the myHEALTHware website, patients will click on the Accept Invitation button that is located under the Log In boxes.
The patient will enter the phone number from which they received the invitation.
Next, the patient will enter the access code that they received in the invitation text message, then click Continue.
Patient Creates or Logs In to myHEALTHware Account
Next, the patient will be asked to either:
- Log In to myHEALTHware using an existing account or
- Sign Up with myHEALTHware by creating a new account.
- Registration
Clicking the Sign Up button will allow the patient to create a new myHEALTHware account. This will also connect their myHEALTHware account to their SOAPware chart.
The patient will need to complete the following information:
- Birthday
- Gender
- First Name
- Last Name
- Create a New User name
- Create a New Password
- Confirm Password
The patient must also read and agree to the myHEALTHware Terms & Conditions. After completing this information, the patient should press the Continue button to proceed.
