Security Rights to Sign Off on Documents
Only licensed providers have the security rights to sign off on documents within the patient chart. In addition, only the provider who is the Owner of the document can sign off on the document.
Sign Off Documents Button
Click the Sign Off Documents button.
A dialog box will display asking "Do you want to sign off the following documents?" Click Yes.
*Important: Once the user has signed off the document, it is locked and unalterable.
Signed Off Documents
Now, the document will turn yellow indicating that it has been signed off and is unalterable. Note that the icon in the encounter list has changed to denote a signed off document.
Signature Password, when enabled, will require passwords to sign off documents. This will store digital signatures from multiple providers on one document. This is an optional setting.
To set up a signature password:
- Click on Tools > Security in the menu bar.
- At the bottom of the dialog window, check the box to Require Password to sign documents.
When using a signature password, inbetween clicking the sign-off button and confirming the sign-off documents, the user will be asked for a password.
Pending Medications Warning
If the user attempts to sign off on the SOAP Note prior to submitting the medications, the Pending Medications notification box (as seen in the screenshot above) will display. Clicking Continue will allow the clinician to continue signing off on the SOAP Note. Clicking Cancel will close the notification and take the user back to the SOAP Note so the medications can be submitted.
Unconfirmed Orders Warning
If an order is placed in the New Orders section, but is not confirmed, printed, faxed, or sent electronically, when the SOAP Note is signed off, a warning will be presented to the user as seen above. Clicking Yes will continue signing off; clicking No will open Order Manager so the order can be confirmed before proceeding.
