Download New Quarterly/Annual Codes
This lesson details the steps to download the latest database of CPT® HCPCS and ICD codes. When the steps below are followed and completed, any new or revised codes will be downloaded to your local database.
Clinical Suite Only: New codes will be automatically added to the Billing Maintenance databases when downloaded on the SMARText Cloud library. Revised codes will also be updated in the Billing Maintenance databases. Deleted codes will have to be inactivated manually.
Download New Codes in the SMARText Items Dialog
When in the Chart workspace, click on the Docutainers menu and select SMARText Items (or hit F10 on your keyboard).
Download ICD-10 Code Updates for 2017
- Make sure you have the "Include Cloud Library Items" box checked.
- Type !!!2017ICD10!!! into the Find field and click on the Search (magnifying glass) button. Once the list appears, click on the first line shown. Press down the Shift key on your keyboard.
- Using your mouse scroll all the way to the bottom of the list and click on the last item shown (while still having the Shift key held down). You should see every line item selected in blue.
- Let up on the Shift key and click the downward facing blue arrow to download, as indicated in the image above.
If you wish, you can also download the items one-by-one or use your Ctrl key to select only the items you need.
- Deleted ICD-10 Codes for 2017
Several ICD-10 codes were removed from the SOAPware Cloud Library effective October 1, 2016. These codes should also be removed from your local Diagnosis code library. For a list of the codes that were deleted effective October 1, 2016, please click here.
Download all New CPT/HCPCS Codes from SMARText Cloud Library for 2017
- Make sure that you have the Include Cloud Library Items box checked.
- Enter the keyword !!!2017!!! into the Find box.
- Click the Search button to search the entire cloud library for the new codes.
- Select the codes individually that you wish to download by highlighting them. *Note: If you wish to download all new codes, highlight the first code in the list, then hold down your Shift key and scroll to the bottom and highlight the last code in the list. This will highlight all codes.
- Click the Download button to update (as shown in the screenshot above). If you are presented with a dialog box asking you if you wish to replace the existing item on the database, click Yes to update the code.
Update Revised Codes for 2017
To download/update all codes that have been changed:
- Type !!needsupdated-2017!! into the Find field and click on the Search (magnifying glass) button. Once the list appears, click on the first line shown. Press down the Shift key on your keyboard.
- Using your mouse scroll all the way to the bottom of the list and click on the last item shown (while still having the Shift key held down). You should see every line item selected in blue.
- Let up on the Shift key and click the downward facing blue arrow to download, as indicated in the image above.
Find Obsolete Codes for 2017
To find codes from the previous year that will no longer be accepted, type !!Obsolete-2017!! into the Find Field and click on the Search (magnifying glass) button.
To update any of the previously used codes so they contain the obsolete keyword:
- Click the first item you would like to update. Press and hold the Control key. Click on each of the other items you would like to update.
- Let up on the Control key and click the downward facing blue arrow to download, as indicated in the image above.
PM Code Database Update (Clinical Suite Only)
As soon as items are downloaded locally from the SMARText cloud library, the codes are brought over and made available in the Billing Maintenance Code databases. The updated and/or new codes will show a modified date as the date that the codes were downloaded and brought over.
Manually Remove Obsolete/Deleted codes from Billing Maintenance
To manually remove the inactive/deleted codes from the Billing Maintenance, go to Tools>Billing Maintenance and select the appropriate type of code-CPT, HCPCS or ICD Maintenance. Place a check mark in the Inactive box and click Save. This will not remove the codes completely, but will inactivate them and remove them from the active list.
View Inactive/Deleted Codes in Billing Maintenance
To view the inactive/deleted codes in Billing Maintenance, go to Tools>Billing Maintenance and select the appropriate type of code-CPT, HCPCS or ICD Maintenance. Remove the check mark in the Hide Inactive Codes box. The list will include Inactive codes and the date the code was modified.
