  • This lesson provides a recommended work flow for

    • Documenting the clinical visit and entering diagnosis and charge (CPT/HCPCS) codes
    • Creating a billing statement
    • Posting the billing statement to front office/billers
    • Processing charges
    • Creating a claim, as needed.

    Note: This lesson will not be covering all of the steps/processes needed to fully document a clinical encounter in the SOAP note. The 2 sections in the SOAP Note that will be highlighted will be the Assessment section and the Plan section. Diagnosis codes will be entered into the Assessment section, and CPT/HCPCS codes will be entered into the Plan section. These 2 sections will be the two key areas that will transfer to the SW Practice Management system and primarily affect the billing/claims.

  • SOAPwareXchangeHL7 is the interface module allowing HL7-compliant interfaces between the SOAPware® charting product and other HL7-compliant systems. This document describes the specific manner in which HL7 is implemented in SOAPwareXchangeHL7, and how the various standard fields will be used.

    SOAPwareXchangeHL7 accepts HL7-compliant messages from other systems, and uses them to create formatted reports in the Reports section of the appropriate SOAPware® chart. If the patient described in the PID section of the HL7 message cannot be matched, it will be added to a queue for the SOAPware user to handle.SOAPwareXchangeHL7 uses the matching algorithm below to determine if a patient already exists in SOAPware®

    CLIA Defaults Updated

    Select codes within Tools > Billing Maintenance  > CPT or HCPCS Maintenance that have a check mark to include the CLIA number, will automatically include the CLIA number on a claim when charged in a visit/encounter. The CLIA number that is pulled will be determined by the Lab Facility that is shown on the More Info-Misc Details tab.
