Name Displayed on Payment Method

Hovering over the payment method in ePay will now display the card/bank account name in addition to the last 4 digits of the account number.

Ability to Use Card Reader for ePay

ePay now includes the capability to use a point of sale card reader to input payment data, such as this one available on Amazon.

Fax Invoice

myHEALTHware fax invoices will now be sent prior to charging the user's account.  The invoice will show up as unread under the Payments Sent tab, and the badge count will increment to notify users of the unread invoice.

*Note:  As a result of this change, the usage portion of the bill will be delayed by 30 days so the next invoice may be lower than expected.

Additional Items in this Release

  • Resolved issue where some contacts were showing as both connected and expired.
  • Resolved error that some users received when sending faxes.
  • Added a requirement that fax numbers must be 10 digits due to errors caused by 9 digit numbers.

Personalized myHEALTHware Clinic Web Page

myHEALTHware has added a new feature that provides the clinic with a myHEALTHware web page that can be customized and provided to patients to access myHEALTHware. The image below is an example of the personalized web site that will be created for your patients to utilize.

Org Profile Settings

To personalize the web page and modify the information presented, log in to myHEALTHware and select your Organization from the "You are acting as" drop-down menu.

  1. Click on the Settings tab.
  2. Select the Profile tab.
  3. The URL to your personalized myHEALTHware page is located under the "myHEALTHware Web Address" section.
  4. To personalize the information viewed on this web page, modify your Address, Phone, Email, Description, and Organization Name.

Accepting Point-of-Sale Payments

Receive a Payment

myHEALTHware has added a new feature that allows the clinic to take a new payment from a customer in their office or over the phone and process the payment using ePay!  

To process a payment, the clinic staff member will:

  1. Access the Payment tab in myHEALTHware.
  2. Click on Receive a Payment.
Make a Payment

The Make a Payment screen will appear where the clinic staff can enter the following information to process the payment:

  1. Patient name: If the patient is already a contact in myHEALTHware, typing in the patient name will search the clinics contact list so an existing patient can be chosen. If the patient is not a current contact in myHEALTHware, the clinic will have the option to create a new contact or simply process the payment without creating a contact.
  2. Reference number: The clinic can enter the account, invoice, or other reference number for the payment.
  3. Amount: Enter the amount of the patient's payment.
  4. Comments: Enter an any additional comments to accompany the payment.
  5. Add a payment method: Enter the patients payment method
Save Contact

When adding a payment method for a myHEALTHware contact, the clinic will have the ability to store the patients payment method in myHEALTHware.  This allows the clinic quicker processing of payment the next time they wish to process a payment for the patient through ePay.  Check the "Save contact payment method" to store the payment method with the selected contact.

Receipt

After the payment is processed, the clinic will have the option of emailing a receipt to the patient.  If a receipt needs to be printed, the clinic can click OK and then print the receipt from the main Payments screen.

Payment History

After the payment has processed, the clinic can select the payment and click on View History.  This will display a history of the payment, including the name of the staff member that processed the charge and the date and time it was processed.

Link to Contact

myHEALTHware has also added a feature that allows the user to link a payment made as a "Guest Payment" to an existing contact.  Linking the guest payment to a contact will help to associate the payment to the contact for future features that are added. To link a guest payment to a contact:

  1. Select the payment.
  2. Click on Link to Contact in the Actions panel.

The Link Contact to Payment screen will appear with the name entered in the Guest Payments window in the Search box.  

  1. Modify the name (if needed) to search for the appropriate contact.
  2. Select the contact that you wish to link.
  3. Click Link Contact.

This will link the guest payment to the contact in myHEALTHware.

Features Added to Contacts

New Actions

myHEALTHware has added two new Actions for Contacts.  

  1. Mark as Unread/Read: You can now make the contact as either read or unread.  A contact will automatically be marked as unread if action is needed on the contact, such as the invitation has bounced or it is in an authorization failed status.
  2. Manage Payment Method: Added a payment method (credit card or bank account) to the contact and store it so it can be used to process an ePay payment in the future.
Postal Address

You can now add a Postal Address to an Organization contact.  In addition, you can quickly view the postal address on Google Maps.

Additional Features and Release Notes in this Release

  • Added a feature that will use the fax number from the Organization profile on the fax cover page.
  • Added a feature that will display the fax error reason.
  • Added a feature that will display a conversation members Relationship (eg: patient/staff member) and Role (eg: Basic/Premium or if staff, Clinician/Nurse/etc).
  • Removed the ability to mark an archived item as "unread".
  • Resolved an issue that was preventing the user from removing connections that were tied to multiple contacts from just one of the contacts.
  • Added the ability to change the contacts relationship and/or role while the invitation to the contact is still pending.

The Contacts interface in myHEALTHware has been redesigned to allow for easier viewing of contacts and better performance.

Contacts
  • Resolved an issue with the Community Forums link on the myHEALTHware Help page.

myHEALTHware ePay

  • Added a feature that allows the clinic user to view a log of all activity that has happened on a payment by clicking on "View History" for the payment.
  • Instant bank account verification now available for over 1500 new banks (80% of US banks)
  • Added a tool tip to the payment filter button in ePay.

myHEALTHware Fax

  • Added a feature that will mark faxes that result in a sending error as unread.  This will increment the unread fax count/badge count to notify the user of the failed fax.
  • Resolved an issue where the creating a contact from a Fax number was not saving the name or fax number fields.
  • Resolved an issue that was causing the fax item to become un-expandable when attempting to add several new fax contacts using already existing fax numbers.
  • Resoled an issue where searching for a contact after displaying a fax was opening the last opened fax, rather than performing the contact search.

myHEALTHware Fax

  • Added a feature that will format the Social Security Number properly on the Merchant/Account Representative screen in the ePay installation wizard.

  • Resolved an issue where the birth date in the myHEALTHware profile was saving as a day prior to the date selected.

The organization subscription settings for the clinic have been related to the Settings > Apps area.  To access your settings for Appointment Requests, Conversations, and Fax, click on the Settings tab, then click the Apps tab.  From this area you can activate/deactivate each feature and designate them for Basic or Premium Subscription patients.

myHEALTHware has added the Settings button to the My Health panel for easier access to your Personal and Organization Settings

To access your Organization Settings, select your organization from the Account Selection drop down menu, then click the Settings tab. The Organization Settings tab includes the following items:

  • Organization Profile: Set your public (viewable by connected patients only) profile that includes your organization name, description, address, phone number(s), and email addresses.
  • Account: Define your organization roles, subscription settings, and read through the legal policies.
  • Apps: Review statistics and settings for your connected Apps (including myHEALTHware Fax).
  • Tags: Customize your organization Tags.

To access your Personal Settings, select your personal account from the Account Selection drop down menu, then click the Settings tab. The Personal Settings tab includes the following items:

  • Personal Profile: Set your profile information for your personal account (not viewable by other users), including your demographic information, address, phone number(s), email address(es), and signature to use in the annotation tools.
  • Account: Change your password, close your account, or read through the legal policies.
  • Notifications: Set up your personal notifications for myHEALTHware to be alerted when certain actions occur.
  • Tags: Customize tags to use for your personal myHEALTHware Conversations.

Select and Act on Multiple Fax Items at Once

Select and Act on Multiple Fax Items at Once

myHEALTHware has also added a new feature that allows clinic users to select and perform actions (such as delete, archive, mark as un/read) on multiple faxes at once. To select multiple faxes, click the first fax, then hold down your Ctrl key on your keyboard and select additional faxes.  You may also use the Shift key to select multiple faxes at once.

Once the faxes are selected, they will be highlighted in blue (as seen in the screenshot above) and actions located in the right-side Actions panel can be performed on the group of selected faxes.

  • Added the ability to delete a fax using the Delete key on the keyboard.
  • Resolved an issue with conversations loading twice at initialization.

myHEALTHware has implemented a new feature that allows the user to select their account view in myHEALTHware.  

Upon first log in to myHEALTHware, by default, the user will be logged in under their personal myHEALTHware account. From this view the user will see all personal Conversations, Contacts, Appointments, and Drive folders.

If the user is a clinic staff member and they wish to view the clinic account, click on the drop-down menu next to the name and choose the clinic account. This will change the account view and the user will be "acting as" a clinic staff member.  The user will be viewing all clinic Conversations, Contacts, Appointments, Drive folders, and Fax documents (if Fax is installed).

Tags can now be used within myHEALTHware Conversations! This feature allows the clinic to route conversations/messages to appropriate staff within the office or to prioritize messages based upon customizable tags that can be created by the clinic administrator.

Examples of how Tags can be used:

  • Create tags for each staff member (or role in the clinic).  Users can then tag conversations/messages by the staff/role that needs to complete a task on the incoming fax.
  • Create tags for priority of conversations (ie: High, Normal, Low) to assign a severity level to the incoming message.
  • Create tags for specific providers to route the conversations to a specific provider to indicate that it needs to be reviewed/responded to, etc.
  • Create tags for any custom label that fits your office workflow!

For information on creating tag, please click here. Once the custom tags have been created, you can add a tag to a conversation/message. In the Conversations inbox, click the +Add Tag button, located below the message, to select a custom tag.

To filter your Conversations Inbox by a tag, click the All Tags drop-down menu and select the tag that you wish to view.  Selecting a tag will filter the Inbox view so that you see only faxes that have the selected tag assigned.

We've also added the ability to tag a new fax when faxing from the SOAPware chart.  This allows the clinic to tag a fax before saving as Draft or prior to sending in order to prioritize/route the fax appropriately.

  • Resolved an issue where the bottom of the scroll bar was getting cut off on the Contacts page.

myHEALTHware added several keyboard features related to Tags.  The user can now select a tag for a fax by tabbing into the +Add Tag field and typing the name of the tag. Once the user begins typing characters into the box, a list of tags with labels that match the characters will be available. If the characters entered match a tag exactly, pressing the Enter key will add the tag to the selected fax. The user is also able able to use the Up and Down arrow keys to select a tag. If the user hits the Backspace key, the last tag will be removed from the fax.

myHEALTHware has added a feature that will allow the user to mark a fax page as "processed"  or "unprocessed".

myHEALTHware also added a feature that will automatically mark fax pages as "processed" when certain actions are performed.  Pages will automatically be marked as "processed" when the following actions occur:

  • When pages are downloaded to the patient chart or users computer.

  • When pages are sent as a fax.

The pricing model for myHEALTHware Fax has been simplified.  With our new pricing model, customers will only pay for the number of pages that they actually use.  The base price remains at $50/month for the first 500 pages (incomming and outgoing).  After 500 pages, any additional faxed pages are simply $.03 per page. This new pricing model is reflected in the plan sign up screen.

myHEALTHware has added a new feature that allows myHEALTHware Fax users to create customizable Tags!  This feature allows the clinic to route faxes to appropriate staff within the office or to prioritize faxes based upon customizable tags that can be created by the clinic administrator.

Custom Tags can be created in the clinic's Organization Settings.  Examples of how Tags can be used:

To filter your Fax Inbox by a tag, click the All Tags drop-down menu and select the tag that you wish to view.  Selecting a tag will filter the Inbox view so that you see only faxes that have the selected tag assigned.

myHEALTHware has added a Print Fax button to the Fax Actions panel. To print a fax, simply select the fax and click Print Fax.

myHEALTHware has added a new filter that allows the user to view all faxes that have failed.  Click the Filter drop-down menu and select "Failed".  This will show the user a list of faxes that have failed so they can be reprocessed.

myHEALTHware has added the ability to save a new fax as a Draft.  When sending a new fax, you now have the option to click Save Draft.  This will place the new fax, along with the attachments, in a Draft status.

To view all draft faxes, click the Filter button and select Drafts. *Note: You can also view your draft faxes when your filter is selected to All.

Once faxes are saved as Drafts, you can use several new features to collate pages and fax individual pages to a new fax number.

Select the pages that you wish to collate or create a new fax with.  You can select multiple documents from different fax draft items. Once you have selected the pages that you wish to collate, choose one of the following options:

  1. Edit Pages: Click Edit Pages to collate the selected pages and utilize the annotation tools to modify the document prior to faxing the document.
  2. Fax Pages: Click Fax Pages to collate the selected pages and send the fax without any edits.

If you chose the Edit Pages option, you will be able to annotate on the document prior to sending the fax.  Once you are ready to send the fax, click the Menu button and choose Send as fax.  The Menu button also contains options to save a copy of the fax to your Drive folders, Download the collated/edited document, Manage your signature settings, or close the document without saving.

myHEALTHware has added a new Search tool to myHEALTHware Drive.  To search your Drive items, click on the Search icon.

Type in the name of the item you are searching for.  Your search results will be listed.

In addition, you can search for Drive items/folders at the time you are adding a new item into myHEALTHware Drive (ie: adding a Conversation to myHEALTHware Drive, etc.).  Click on the Search icon.

Next, type in the name of the item/folder you are searching for.  Your search results will be displayed.

myHEALTHware Fax has added a feature that allows the user to view and manage archived faxes.  To view archived faxes, simply click on the filter drop-down arrow and select Archived.  All archived faxes will be displayed in the Fax view.

In addition, you can now unarchive a fax. To remove a fax from the Archive, select the fax and click Unarchive Fax. When Unarchive Fax is selected, the fax will be moved back into the Fax inbox.
