Provider Setup

Before updating and exporting Meaningful Use statistics for a provider, you must complete the provider setup process.  Please see the following lesson for instructions on completing provider setup: Meaningful Use Provider Setup.

The 2014 Meaningful Use Dashboard contains the calculations necessary for reporting for 2017 MACRA/MIPS. The table below describes the correlation between the 2017 Advancing Care Information (ACI) Transition Objectives & Measures and the 2014 Meaningful Use Dashboard.

The Home tab will display the currently selected Meaningful Use Core and Menu Objectives Snapshot or Clinical Quality Measures (CQM) Snapshot.

Settings

The Settings tab will allow you to select the providers that you wish to build and export statistics for.  In addition, the Settings tab will allow you to modify the CQM upload schedule and the Snapshot Auto-Run schedule.

Place a check mark next to each provider that you would like to build and export a Meaningful Use and CQM report for.

In order for CQM statistics to calculate, a QRDA I file must be uploaded to SOAPware's calculation engine for every patient that is seen during the reporting period. The upload of this data will occur automatically on a weekly basis, based upon the schedule that is set in the CQM Upload Schedule section. By default, data is scheduled to automatically upload every Friday at 10:00pm. However, if you wish to change the schedule of your data upload, simply click on the day of the week (ie: Friday) and time (ie: 10pm) and select the desired day and time.

*Note: It is imperative that there be no interruptions to the database service during the weekly snapshot process. Therefore, you should choose a day and time where there will be no interruptions or you should disable any database maintenance and backups until the upload process is complete.

SOAPware will automatically take a snapshot of Meaningful Use statistics on the last day of every month, and by default this will occur at 8:00pm.  To adjust this time, click on the number 8 and select a different hour.  You may also click on the "pm" and select "am" if desired.

The auto-run will not update statistics for any provider without a stage and reporting period selected.  See: Meaningful Use Provider Setup. It is recommended to select a time after the end of business so the snapshot will be complete through the end of the month.

*Note: It is imperative that there be no interruptions to the database service during the monthly snapshot process. Therefore, you should choose a day and time when there will be no database maintenance or backups running.

The Snapshots tab will allow you to view Meaningful Use Core and Menu Objective and CQM snapshots that have previously been run.

To view a snapshot:

  1. Select the date that the snapshot was run on the calendar.  If a snapshot was run an a particular date, it will be indicated by a red dot and bold date, as seen in the screenshot above.
  2. Click on the snapshot that you wish to view.

Once you select a snapshot to view, the snapshot will be displayed on the Home tab for the selected provider.  

The Meaningful Use Core and Menu Objectives snapshot includes:

  • The Stage that was selected for the report. *Note: For 2017 MIPS Objectives and Measures, clinics should run a Stage 2 report.
  • The reporting period that was selected for the report.
  • The date range that the report is currently display statistics for.
  • Indication if the objectives required threshold has been met (green check) or not yet met (red x).
  • A description of the objective.
  • The numerator and denominator calculation for the current date of the report (see "Currently displaying Statistics for:").
  • The providers current compliance (numerator/denominator).
  • The objectives required threshold.

The Clinical Quality Measures snapshot includes:

  • The date that the report was generated.
  • A description of the CQM measure.
  • The percentage met for the CQM (numerator/denominator).
  • The numerator and denominator for the current date of the report.
  • The number of exclusions for each CQM.
  • The number of exceptions for each CQM.

The CQM snapshot will display all 17 CQMs that SOAPware is certified to report.  For instructions on documenting for CQMs please see: 2014 Clinical Quality Measures.

Take Snapshots

Take Snapshots

The Take Snapshots button will allow the user to take a new snapshot for each of the providers who are selected in the Settings tab. This button will take both a Meaningful Use snapshot and a Clinical Quality Measure snapshot and will display the MU report in the Home tab when it is finished.  

The MU snapshot will only display after all MU and CQM calculations are complete.  You may continue to work in SOAPware while the snapshot is processing. Once it has completed, you can view the CQM snapshot by going to the Snapshots tab and then clicking on the CQM snapshot.

Export Statistics

It is recommended that you export both your MU and CQM snapshot after your statistics have run, on the final day of your reporting period.

To export your MU statistics, follow the steps below:

  1. Click on the Snapshots tab.
  2. Using the calendar, click on the date that is the last day of your reporting period. This will display the snapshot that were take on that day to the right of the calendar.
  3. Click on the MU report.
  4. Click the Export button.
  5. Choose the appropriate export option and save the report to a folder on your computer. You should retain this report and all other supporting documentation in case of a future audit.

To export your CQM statistics, follow the steps below:

  1. Click on the Snapshots tab.
  2. Using the calendar, click on the date that is the last day of your reporting period. This will display the snapshot that were take on that day to the right of the calendar.
  3. Click on the CQM report.
  4. Click the Export button.
  5. Choose the appropriate export option and save the report to a folder on your computer. You should retain this report and all other supporting documentation in case of a future audit.

Export options:

  • Export Selected Snapshot: This option will export the snapshot that is currently displayed on screen, for only the selected provider.
  • Export All Selected Providers: This option will export a snapshot file that include the most recent snapshot for all providers who are selected in the Settings tab.
  1. Select to export the report  Without patient detail or  With patient detail. If you select to export the report with patient detail, this will export two separate files in XLS or CSV format. The first file will contain a report that includes a Summary of the provider's MU statistics. The second file will contain a patient detail report that lists detail for each patient included in all MU numerators/denominators. See the steps below for more information on this particular report.
  2. Using the drop down menu, select the File Type for the export. For the Without patient detail report, users may choose between XLS (Excel), PDF, HTML, or CSV. For the With patient detail report, users may choose between XLS or CSV.
  3. Click Export to generate and export the report.

Review Statistics

A report will be exported and saved, to a location that you selected, for each provider that you included, in the export.

The above image is an example of an exported MU Statistics report, for a Stage 2 provider, that does not include patient detail. This report will include the selected report date range (start date to current date), provider name, selected stage, and a list of each MU measure with the corresponding numerator, denominator and percentage.

The above image is an example of an exported MU Statistics report, for a Stage 2 provider, that includes patient detail. This export will include a Summary report, as well as a Patient Detail report. The Summary report and Patient Detail report are exported as separate files.

  1. Summary Report: The summary report includes the selected report date range, provider name, and a list of each MU measure with the corresponding numerator, denominator and percentage. This report should be exported at the end of the Eligible Provider's reporting period and stored with the provider's Meaningful Use documentation in case it is needed for audit.
  2. Patient Detail Report: The patient detail report includes a list of Meaningful Use measures along with patient information for patients included in the numerator or the denominator for that measure. The patient detail information includes the following items: numerator, denominator, %, Last name, First name, Chart #, DOB, Phone, Street, City, ST, Zip, Email, Sex, Race, Ethnicity, Language, Last Encounter date and time.

Keep Supporting Documentation for Meaningful Use Audits

Providers who attest to Meaningful Use for either the Medicare or Medicaid EHR Incentive Program may potentially be selected for an audit.

It is the responsibility of each provider to maintain supporting documentation in case of a future audit.
